How far ahead to book your caterer?

The short answer: 12 to 18 months before your wedding date - and earlier if you're marrying during peak season or have your heart set on a specific caterer.

Booking your caterer is one of the first vendor decisions you'll make, typically right after securing your venue. Here's why timing matters and how to approach it strategically.

Why book so early?

Top caterers fill up fast. The best wedding caterers in any market often book 12 to 18 months out, especially for Saturdays in peak wedding season (May through October in most regions). If you're planning a wedding during these months, waiting too long means your top choices may already be committed.

Your caterer shapes other decisions. Menu style affects your timeline, rentals, and even décor. A caterer who needs a full kitchen setup has different requirements than one doing a food truck or family-style service. Locking this in early lets you plan everything else around it.

Tastings take time. Most couples want to sample menus before committing, and scheduling tastings with multiple caterers can take weeks. Starting early gives you breathing room.

Timeline Breakdown

12+ Months Before: If you’re planning a wedding during peak season or in a popular area, start researching caterers as soon as you secure your venue.

This is especially important if your venue doesn’t provide in-house catering, you’re inviting 100+ guests or you want a highly sought-after or niche caterer (e.g., fine dining, fusion cuisine).

9–12 Months Before (Ideal Booking Window): This is the sweet spot for most weddings.

By now, you should have your venue confirmed, know your estimated guest count and have a rough idea of your budget and style

At this stage, book your caterer to lock in availability and pricing.

6–9 Months Before: You may still find good options, but availability becomes tighter. Expect fewer choices, less flexibility with menus or staffing or possible premium pricing for popular dates

Less Than 6 Months Before: At this point, you’re working with limited availability. You might need to be flexible with your menu or opt for simpler catering styles (buffet, food trucks, drop-off catering) It’s still doable - but expect compromises.
